This Privacy Notice explains how Adore Care Services Limited, trading as Duvero, collects, uses, stores and shares personal information when families, professionals and other visitors contact Duvero or use the Duvero website.

Depending on how you contact Duvero, we may collect the following information.

Contact details

Your name, email address, telephone number and any other contact details you provide.

Support enquiry information

Information about who requires support, the type of assessment or professional support being sought, their age or age range, general location, preferred appointment format and the information entered into the enquiry form.

SEND and health-related information

Information about SEND, disability, developmental, educational or health-related needs that you choose to provide. Please do not submit full medical records, NHS numbers or highly sensitive documents through the website form.

Professional information

Where a professional or provider contacts Duvero, we may collect their name, role, professional or practice details, services offered, contact information and correspondence with us.

Communications

Copies of emails, form submissions and other communications exchanged with Duvero.

How we use your information

Responding to enquiries

We use contact details and enquiry information to respond to you, understand the support being sought and explain potentially relevant next steps.

Reviewing support options

We use the information provided to identify independent professionals or assessment providers whose services may be relevant to the enquiry.

Arranging introductions

We will share identifiable information with a professional or provider only after the person making the enquiry has agreed to an introduction to that named professional or provider.

Managing professional relationships

We use professional and practice information to communicate with providers, understand their services and manage potential or existing working relationships.

Administration, security and legal compliance

We may use information to maintain records, protect the existing working website and our systems, deal with complaints, prevent misuse and comply with legal or regulatory obligations.

Improving Duvero

We may use anonymised or aggregated feedback and operational information to understand how Duvero is used and improve the service. We will not use identifiable SEND or health information for this purpose unless we have an appropriate lawful basis.

How long we keep information

We keep personal information only for as long as reasonably necessary for the purposes for which it was collected, including legal, regulatory, accounting and reporting requirements.

Enquiries that do not progress

Where an enquiry does not result in an introduction or ongoing service, we will normally delete or anonymise the enquiry information within 12 months of our last meaningful contact.

Family enquiries and introductions

Where an introduction is arranged, we will normally delete or anonymise detailed SEND and health-related information within 12 months of the introduction or our last meaningful contact, unless there is a genuine reason to keep it for longer.

We may retain limited administrative records, including records of consent, introductions, communications, complaints and transactions, for up to six years where necessary to maintain appropriate business records or establish, exercise or defend legal claims.

Professional and provider information

We may retain professional and provider information for the duration of the relationship and for up to six years afterwards where required for contractual, financial, regulatory or legal purposes. Information that is no longer accurate or relevant may be removed earlier.

Legal disputes and complaints

Where information is connected with a complaint, dispute, safeguarding concern, regulatory matter or legal claim, we may retain it for as long as reasonably necessary to resolve the matter and comply with applicable legal obligations.

Children and young people

The Duvero service may involve information about children and young people. Our website enquiry form is intended to be completed by an adult, such as a parent, carer or legal guardian, or by an adult seeking support for themselves.

Please provide only the information reasonably necessary for Duvero to understand the enquiry. Do not submit full medical records, NHS numbers or highly sensitive documents through the website form.

If we become aware that personal information has been submitted directly by a child without appropriate involvement from an adult, we may take steps to verify the circumstances and delete the information where appropriate.

Keeping information secure

We use appropriate technical and organisational measures designed to protect personal information against unauthorised access, loss, misuse, alteration or disclosure.

Access to identifiable family and professional information is limited to people who reasonably need it to perform their role. We also expect service providers processing information on our behalf to apply appropriate security and confidentiality measures.

No website, email service or storage system can be guaranteed to be completely secure. Please do not send highly sensitive documents or full medical records through the website form or ordinary email unless Duvero has provided a suitable secure method.

International processing

Some of the technology and service providers used to operate Duvero may store or process personal information outside the United Kingdom.

Where the use of a service provider involves a restricted transfer of personal information outside the United Kingdom, we will take steps required by UK data-protection law. These may include relying on United Kingdom adequacy regulations or putting appropriate contractual safeguards in place.
